**Key Responsibilities**:
- Financial Record-Keeping: Maintain accurate and up-to-date financial records, including accounts receivable. Enter data into accounting software, verify document accuracy, and reconcile discrepancies.
- Invoice Processing: Generate and process invoices for goods and services provided by the organization. Verify invoice details, ensure timely and accurate billing, and maintain an age analysis. Follow up on any outstanding payments.
- Accounts Receivable: Handle accounts receivable activities, including generating customer invoices, monthly statements, monitoring customer payments, and following up on overdue accounts.
- Compliance and Auditing: Ensure compliance with financial regulations, internal controls, and company policies. Collaborate with auditors during financial audits, providing necessary documentation and support.
- Administrative Support: Provide administrative support to the finance department, including organizing financial documents, maintaining filing systems, and assisting with general finance-related tasks.
**General Duties**:
- Answer phones and assist in the absence of the training administrator.
- Handle filing tasks.
- Assist in processing student refunds.
- Support the finance manager as needed.
- Capture and allocate electronic customer account payments daily.
- Foster good relationships and act as a liaison with different departments
- Maintain student bursaries.**Inherent Requirements**
**Requirements of position**:
- Accounting Knowledge: Strong understanding of basic accounting principles, financial statements, and bookkeeping practices. Familiarity with Generally Accepted Accounting Principles (GAAP) or International Financial Reporting Standards (IFRS) may be necessary depending on the region or industry.
- Experience: Previous experience in a similar role, such as accounting assistant or bookkeeper, preferred. Experience with financial software and accounting systems (e.g., QuickBooks, SAP, Pastel) desirable.
- Attention to Detail: Accurate data entry and meticulous attention to detail crucial. Ensure financial records and transactions are recorded correctly and consistently.
- Organizational Skills: Strong organizational skills required to manage multiple tasks and deadlines effectively. Prioritize work and maintain an organized filing system. Self-motivated and able to work unsupervised.
- Analytical Skills: Ability to analyze financial data and identify discrepancies or irregularities important. Spot potential errors or anomalies and take appropriate action.
- Communication Skills: Effective written and verbal communication essential for collaborating with colleagues, clients, and external stakeholders. Explain financial information, resolve inquiries, and provide reports to management.
- Problem-Solving Skills: Proactive in identifying and resolving accounting or financial issues. Able to troubleshoot problems, propose solutions, and work collaboratively for improvements.
- Ethics and Confidentiality: Adhere to high ethical standards and maintain confidentiality when dealing with sensitive financial information. Comply with legal and regulatory requirements regarding data protection and privacy.
- Language Skills: Well-developed communication skills to effectively communicate with internal and external stakeholders. Fluent in spoken and written English.
- Independence and Teamwork: Perform duties with speed, accuracy, and mínimal supervision. Self-motivated and able to work unsupervised while also being an effective team member.
