Front Office Administrator

We are seeking a highly organized and proactive Front Office Administrator
to manage our front office operations and support job management activities.
ensuring a welcoming and efficient front office environment while also assisting
in the coordination of various administrative and operational tasks.
**Key Responsibilities**:
**Front Office Management**
- Greet and welcome visitors and clients in a professional manner.
Maintain a tidy and organized reception area and front office environment.
**Administrative Support**:
- Perform general administrative duties, including filing, data entry, and document management.
Schedule and coordinate appointments, meetings, and conference rooms.
Assist in the preparation of reports, presentations, and other documents as needed.
**Job Management**:
Assist in the management of job assignments, ensuring timely completion and adherence to deadlines.
- Collaborate with team members to track project progress and update job status.
Maintain job management software and databases, ensuring all information is accurate and up to date.
**Communication**:
- Serve as a liaison between departments, ensuring effective communication and collaboration.
Distribute internal communications and updates as necessary.
- Handle confidential information with discretion and professionalism.
**Inventory and Supplies Management**:
Monitor and manage office supplies inventory, placing orders as needed
Coordinate with vendors and service providers for office maintenance and supplies.
**Customer Service**:
Address client inquiries and concerns with a focus on providing exceptional service.
Assist in resolving any issues that may arise promptly and effectively.
**Qualifications**:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
Proven experience in an administrative role, preferably in a front office or customer service environment.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and job management software.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Professional demeanour and a positive attitude.
Pay: R8 000,00 - R10 000,00 per month
