**JOB DESCRIPTION**
**Job title**:Finance Office Administrator

**KEY ACCOUNTABILITIES**:
**Administrating Finance and Procurement**:
- Creating and updating spreadsheets of daily transactions.
- Managing accounts payable (Creditors)
- Streamlining the process once the orders has been received.
- Collect invoice from the Stores daily (by 15h00).
- Ensure that all invoices are GRVd daily.
- Keep records of invoices, POs, delivery notes and Tax payments for VAT purposes.
- Identify and resolve invoicing issues, accounting discrepancies and other financial related issues.
- Post all payments made to Creditors against what has been GRVd on system to balance accounts for a true reflection.
- Reconcile Creditors accounts.- Keeping suppliers B-BBEE Certificates updated regularly.-
- Assist Procurement in ensuring that purchases are being made in accordance to the B-BBEE requirements.- Prepare VAT invoices timely filing of company tax (COD and 30 days).- Participate in liaising with external partners /clients, like insurance vendors and ensure legal compliance (throughout the company).- Create and maintain an Asset register.- Liaise with insurance to ensure maintenance of YNF insurance cover and processing of claims.- Support Finance manager/ Director with all Admin related functions.- Ensure all access Purchase order are closed off and that the Creditors system is well maintained with accurate and relevant purchase orders.
- Reconcile Petrol account daily.
- Generate report with expenses, payments made and GRVd showing company VAT.
- Consult with Bookkeeper to ensure that VAT is managed and that all invoices are submitted for VAT purposes.
- File all payment records, invoices and delivery notes.
**COMPETENCY**:
**Education/ Qualification**:
- Matric Certificate
- Advanced knowledge of MS Excel (creating Spreadsheets and Charts and using financial Excel functions).
**Skills**:
- Good understanding of bookkeeping procedures.
- Strong administration background.
- Must have good English written and verbal skills.
- Computer literate.
- Time management and organization skills.
**Experience**:
- 2 3 Years experience.
