**1. **LEASING (NEW LETTING AND RENEWALS)**

a. Prepare a leasing strategy for all properties with vacancies & present same to the Asset Manager for approval.

b. The regular inspection of individual units (premises) within the portfolio in order to become familiar with these and ensuring that units remain in a lettable condition within the constraints provided by the fund’s directors.

c. To remain actively engaged in the market surrounding each property by visiting tenants in surrounding properties & obtaining their leasing.

d. To remain actively engaged in the market surrounding each property and to be aware of tenants’ requirements in surrounding buildings.

e. The marketing of vacant premises in accordance with the parameters defined by the directors.

f. The negotiation of leases with prospective tenants and associated liaison with the directorate and the ultimate conclusion of lease agreements in accordance with Asset Managers requirements.

g. Arranging the procurement of quotes relating to tenant installation requirements and submitting same for approval.

h. The strategic assessment and planning of each renewal within the portfolio between twelve
- and six
- months prior to the expiry of a lease agreement

i. The negotiation of renewal leases with existing tenants and associated liaison with the directorate and the ultimate conclusion of renewal lease agreements in accordance with board requirements.

j. Ensuring that a comprehensive credit profile has been obtained and prepared on a prospective tenant so as to enable an executive decision as to whether the applicant is a suitable tenant for the fund

k. The assessment of tenants (including the comprehensive credit profiling) within premises where their agreements of lease shall expire within the next twelve months.

l. The drawing of leases and associated documentation.

m. Ensuring that the liaison between contractors and suppliers in order to meet the requirements of tenant installation agreements occurs.

n. Ensuring that documentation is correctly signed by the parties.

o. Ensuring that the contents of the concluded lease agreement are correctly captured onto the property management computer system.

p. Ensuring that the correct commission charges are levied, where necessary, and collected from the client.

q. The negotiation of cancellation, assignment and other agreements in accordance with client requirements.

r. The regular distribution of updated vacancy reports.

s. The perusal and authorisation of accounts related to the leasing function.

t. Liaison with tenants in order to promote good relationships between landlord & tenant.

u. Adherence to the leasing procedural manual.

**2. **MAINTENANCE AND FACILITIES CO-ORDINATION**

a. Establishing a mandate from the Asset Manager regarding the maintenance procedures

to be followed in respect of the properties.

b. Overseeing that all maintenance and service contract requirements are properly monitored and addressed. These include - but are not limited to:

- Security
- Cleaning
- Plumbing
- Structural repairs
- Access control
- Tenant handovers and take backs
- Tenant installations
- Preventative maintenance
- Formulation of maintenance budgets
- Air-conditioning
- Pest control
- Roof repairs
- Fire equipment
- Painting
- Gardening
- Electrical
- Lifts and escalators

c. The periodic and structured inspection of units (premises), buildings and properties within the portfolio in order to establish maintenance requirements.

d. Establishing of liability in respect maintenance requirements.

e. Taking appropriate action to ensure that maintenance requirements are met by tenants, where necessary.

f. Obtaining alternative quotations, the evaluation thereof, the recommendation thereof to the Asset Managers and the subsequent authorisation for repair of maintenance requirements considered to be the landlord's liability in accordance with our respective clients' mandates.

g. Project management of all maintenance work conducted at the properties.

h. Ensure take-on and take-back inspections of tenants’ premises prior to occupation and vacating.

i. Adhering to the company’s approved contractors’ schedule and the appointment of contractors and service suppliers, as necessary.

j. Supervising of contracts during performance and services under supply in order to ensure that such contracts are properly and timeously performed.

k. Checking and authorising of maintenance related accounts for payment.

l. Ensure completion of preventative maintenance programmes and the regular review of contracts entered into in respect of the properties.

m. Ensure completion of maintenance status reports and working documents.

n. Compiling improvement and refurbishment recommendation to the Asset Manager in order to improve the asset value of buildings.

o. The appropriate managing of the insurable risk aspects of each fixed property development.
