**Job Purpose**:
To provide comprehensive administrative support to the Finance, HR, and Exco teams, ensuring smooth internal operations and accurate record-keeping.

**Key Result Areas (KRAs)**:

- Administrative support and coordination
- Financial and HR documentation
- Exco and departmental reporting support

**Detailed Responsibilities**:

- Prepare a payment schedule of all payments due on a daily basis and ensure it is update as and when requested by Finance Manager, including but not limited to: New Purchases, monthly payments, bond re-payments, settlements.
- Prepare payment requisition and orders, and ensure administrative records, reports, and documentation are filed.
- Liaise with service providers on quotes and/or invoice enquiries.
- Ensure transactions are captured correctly on VMG system; accounts and cost centres.
- Ensure vehicles are brought into stock after an invoice is paid by creating a new file with all vehicle documents, spare keys, and service books. Have the vehicle file checked and signed off by the General Manager.
- Ensure vehicles are registered and licenced timeously as vehicles are purchased and/or traded in.
- Ensure licence discs and number plates are received and disbursed to clients efficiently.
- Ensure NATIS documents are correctly captured and filed accordingly: NATIS from banks, floorplan, dealer-stock and customers.
- Ensure permits are in stock at all times.
- Liaise with finance department with loading vehicles on floorplan.
- Ensure stock-take is submitted daily.
- Ensure reconciliation of the recon card is submitted timeously.
- Ensure petty cash reconciliation is submitted timeously.
- Assist Finance with compliance.
- Schedule and organize internal meetings, capturing minutes where required.
- Maintain filing systems (digital and physical) to ensure audit readiness.
- Support Exco with documentation required for strategic decision-making.
- Liaise with suppliers, service providers, and internal departments for administrative tasks.

- Excellent MS Office and digital filing knowledge.
- Confidentiality and professionalism.
- Strong communication and coordination ability.

**Automotive Industry experience is essential.**

**Job Type**: Temp to perm

Pay: R10 000,00 per month
