Administrator: Client Solutions

**POSITION PURPOSE**
- Provides assistance to Director: Client Solutions and Manager: Client Solutions with regard to New Business Proposals, tenders (RFIs and RFPs) and Team Capabilities requests.
- Assist in the collating and compilation of all New Business Proposals and tenders
- Provides assistance to the Marketing Manager with various marketing coordination duties
**ESSENTIAL FUNCTIONS AND BASIC DUTIES**
**1. Tender Administration and Proposal Responsibilities**:
- Search for new Tender opportunities - cold calling for business leads
- Coordinates the tender reviews and deadlines
- Collaborates with the tender team to assist with the compilation of completed proposals
- Ensures that all tender administrative tasks are completed comprehensively and on time
- Collecting/downloading all tender documentation for selected possible tenders
- Assist with the clarification of bid/tender conditions and assists with the tender/proposal preparation
- Arranges and coordinates strategic meetings between important decision makers
- Assists to ensure that presentation and business proposal documentation are formatted, collated and presented in a professional manner
- Assists with compilation of final bid documents, and with arrangements to provide these documents to the customer within the defined tender deadlines and in the correct format
- Secures and sources all documentation before final release & submission
**2. New Business Administration Responsibilities**:
- Effectively assists with the management of the business opportunities on Pipe Drive (New CRM system and WIP Schedules)
- Updating of the Divisional Directors sales pipeline through Pipe Drive
- The logging and closing of supplier calls on Pipe Drive
- Takes responsibility for implementing correct naming convention on Pipe Drive throughout the business
- Assists to maintain the status of generic/customised proposals and collaborate with relevant key stakeholder to ensure that they are reviewed, revised and re-approved as necessary
- Undertakes and executes other administrative tasks pertaining to tenders/proposals, as required
**3. Marketing coordination**
- Assist the Marketing Manager and Director of Client Solutions with the implementation of effective marketing programs / strategy for the various departments within the Cluster
- Coordinate and assist where possible with corporate branding, Public Relations (PR), media and advertising placements
- Monitor and respond to social media comments on platforms such as LinkedIn and Facebook
- Maintain professional business relationships between customers, marketing suppliers, external business contacts & trade professionals as well as with company personnel and Management
**PERFORMANCE MEASUREMENTS**
- Excellent communication and coordination exists
- Excellent administrative skills
- Effective business relations with other stakeholders within the business
- Tender/s are compiled and submitted in accordance with the tender requirements and delivered on time
- Tender process is followed according to the agreed business process and efficiently executed
- Office responsibilities are performed with integrity, care and executed in acceptable timeframes
- Ensures that all business processes that relates to the duties are adhered to
**QUALIFICATIONS**
**EDUCATION/CERTIFICATION**:
- Relevant post matric qualifications
**REQUIRED KNOWLEDGE**:
- A good knowledge of Microsoft Office Suites especially Microsoft PowerPoint, Microsoft Word, Adobe and tender administration, general office administration
**SKILLS/ABILITIES**:
- Excellent leadership abilities
- Able to organise, coordinate, and direct team activities
- Strong problem solving skills
- Good communications skills
- Sound social knowledge
- Excellent working knowledge of Microsoft Office suites
