We're looking for a Receptionist to join our Parktown team on a fixed term contract where you'll act as the first point of contact with all clients and guests, and support related administration duties.

We need someone who not only has their ducks in a row but can assist with getting the team’s ducks all lined up too In doing this, you will need to assist with day-to-day tasks such as administrative, scheduling meetings and event co-ordination activities.

**What you'll be doing**
- Acting as the on-site contact for visitors, clients and guests
- Maintaining and following security protocols and procedures
- Managing, arranging and monitoring all boardroom bookings (and related meeting requests) in a practical and systematic way, addressing any clashes that may arise in a timely manner and prioritising important meetings
- Reviewing calendars and assisting with bookings and meeting arrangements, whilst resolving potential conflicts
- Supporting site visits, functions and events for both internal and external clients
- Organising catering, arranging equipment and facilitating printing of documents relevant for meetings
- Managing, screening and redirecting all incoming calls as well as taking and disseminating accurate messages promptly
- Managing travel bookings and transfers
- Ensuring accurate distribution of incoming mail and deliveries, and organising courier services
- Assisting and supporting the Senior Executive PA and the Executive Team in the absence of the Senior Executive PA
- Managing expense claims and credit card statements
- Maintaining reception areas and ensuring that they are neat and tidy at all times
- Working closely with the Facilities Team and ensuring weekly site inspections are done and any maintenance issues are reported immediately
- Supporting evacuation, in cases of emergency, acting as first point of contact for guests and the emergency services
- Assisting with various administration duties and ensuring confidentiality of all information at all times
- Identifying and making recommendations for areas of improvement in processes

**What you’ll need**
- Matric
- Excellent organisational, communication, interpersonal, customer service and listening skills with the ability to build rapport
- Problem-solving skills and ability to use own initiative
- Ability to multi-task and work on own initiative without losing sight of priorities
- Ability to take and transcribe minutes
- Flexible attitude, with a positive outlook and able to cope in a fast-moving and changing environment
- Demonstrable ability to handle confidential in accordance with related policies and procedures
- Ability to remain calm when faced with difficulty
- Good time management skills and the ability to meet deadlines
- Ability to travel and support remotely if required
