Logistics Document Controller

Our client in the mining industry is looking for a Logistics Document Controller (contract Hire) to join their team in Durban.

**Summary**
Under supervision and guidance, the logistics document controller will perform a wide variety of duties and tasks related to logistics document verification and management system. Work with freight forwarders, monitor their daily activities and report to the business.

**Position Type/Expected Hours of Work**
**This is a one (1) year contract position**, Monday through Friday. Evening and weekend work may be
required as job duties demand

**Required Education and Experience**
- **Bachelor’s degree** in Supply Chain, Business Admin, Accounting, Finance alternatively, an engineering degree with significant Commercial analysis experience
- Three (3) years of related working experience.
- **Fluent in English and Afrikaans**:

- Technical and functional proficiency in material & logistics knowledge, geography of Sub Sahara Africa, shipping methods, material handling equipment, import-export procedures and exposure to a variety of processes (mining industry, maintenance, mobile equipment).
- Ability to develop and maintain awareness of occupational hazards and safety precautions. Skilled in following safety practices and recognizing hazards
- Ability to communicate effectively, both orally and in writing.

**Essential Functions**
- Ensure that all paperwork has been supplied by the freight forwarder in line with the business instructions.
- Work closely with the different freight forwarders in obtaining the relevant documentation in good time after shipment completion.
- Create an efficient filing system and file retrieval process for all shipment.
- Develop and maintain a cost per shipment report.
- Tracking trucks and filling out any paperwork and provide documentation for each shipment.
- Checking pre-alerts, tracking report and invoices, GDN to ensure documents correspond.
- Follow-up with freight forwarders / drivers on movement of trucks and resolve any issues.
- Follow-up on insurance payment for damaged Cargo
- Daily/weekly reporting requirements
- Perform other duties as required.

**Supervisory Responsibility**
This position has no supervisory responsibilities.

**Work Environment**
This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

**Challenges**
- Effectively monitor the shipment, receipt, consolidation, and clearance of materials / product inbound the mine-sites in order to effectively complete record files.
- Adapting to changing regulation in the different African countries; Implementation of government regulations without prior notice: Government may implement regulation changes without giving prior notice to importer / exporter. This requires the incumbent to ensure that records are effectively completed with all newly implemented documentation requirements.
- Maintain effective communication with the various freight forwarders and warehousing facilities with respect to shipment requirements.
- Critically analyzing service provider invoices to ensure accuracy against agreed rates schedule
- Maintaining a cost per shipment detailed report in order to evaluate logistics plans to assess for improvements and cost cutting.

**Physical Demands**
- Work is performed primarily in an office setting, and occasionally at the port, warehouse or freight forwarded location.
- While performing the duties of his job, the employee is regularly required to stand, sit, **demonstrate manual dexterity, climb stairs, talk, hear and see**:

- Occasionally may be required to l**ift moderately heavy objects (up to 25 pounds).**:

- Personal protective equipment is required when performing work in an outdoor or plant environment, including hart hat, hearing protection, safety glasses, safety footwear, and other protective equipment as required.
