HR Assistant

**PRIMARY PURPOSE**
This position assists with the day-to-day tasks of the human resources department and supports a wide range of HR activities including general administrative duties, recruitment and employee development, employee record management, payroll and benefits submissions, employee liaison, and implementation of HR policies and procedures.
**KEY RESPONSIBILITIES**
**Recruitment Management**
- Advertise positions, screen CVs, coordinate interviews, and manage applicant communications.
- Conduct reference checks and background screenings.
**HR Administration & Record Maintenance**
- Maintain accurate employee records and filing systems.
- Communicate all employee changes to payroll.
- Draft HR documents (contracts, letters) and assist with form completion.
- Audit and update employee files, ensuring compliance.
- Provide records to HODs and manage electronic record systems.
**ESS Administration (Symplexity)**
- Manage user access, roles, and permissions.
- Support system updates, employee queries, and record maintenance.
**Onboarding & Terminations**
- Coordinate new employee inductions.
- Manage the termination process along with exit interviews.
**Employee Welfare**
- Organize events and initiatives for a positive work environment.
- Maintain notice boards and draft internal communication.
**Employee Relations**
- Support HODs and employees with policies, grievances, and conflicts.
- Assist with disciplinary actions and conflict resolution.
**Liaison with Service Providers**
- Coordinate with brokers, retirement funds, medical aid, and EAP services.
- Organize presentations and distribute benefit statements.
**Employee Recognition**
- Arrange events, awards, vouchers, gifts, and certificates for recognition initiatives.
**HR Reporting**
- Compile and distribute HR and legislative reports (EE, Skills, BBBEE).
**General Support**
- Assist HR Manager with tasks, research, and presentations as and when needed.
**PERSONAL ATTRIBUTES & SKILLS**
- Ability to research information and present a clear and concise summary.
- Strong interpersonal skills, with the ability to relate to people from diverse backgrounds.
- Excellent computer skills, particularly with Microsoft Office 365, Excel, Outlook, and Symplexity.
- Must possess problem-solving skills, including the ability to identify issues and resolve them promptly.
- Strong communication skills, both written and verbal.
- Comfortable speaking in group presentations and meetings.
- Ability to effectively read and interpret information, present numerical data resourcefully and gather and analyze information skillfully.
- Must be able to prioritize and plan work activities to use time efficiently.
- Must be organized, detail-oriented, and able to monitor work quality.
- Dependable and able to follow instructions, respond to management direction, take initiative, and improve performance based on management feedback.
- Ability to commute between two sites.
**MINIMUM / PREVIOUS EXPERIENCE**
- 3-5 years of experience in a similar role is preferred.
**QUALIFICATION**
- Tertiary qualification, a degree in Human Resources.
