Role Purpose

Build, strengthen and maintain relationships with key stakeholders and act as key contact to stakeholders regarding queries, products, and services.
Requirements
- Matric / Grade 12 or NQF level 4
- Office Administration or equivalent qualification advantageous
- 3-4 years relevant experience
- Exposure to supporting a manager or team
- Knowledge of Microsoft Office
Duties & Responsibilities
- Co-ordinate all the components (logistics etc.) of events, meetings and functions within budget and specifications
- Support the induction and graduation activities for new advisors by proactively managing and coordinating relevant activities and resources.
- Order and control office supplies and equipment in line with budget parameters
- Accurately update and maintain the asset registers proactively
- Develop and maintain document control processes for the efficient management of records and processes
- Consolidate, reconcile and report on relevant information
- Suggest and implement new initiatives to support the development of the role as required
- Maintain open and effective working relationships with senior management and colleagues
- Manage the financial administration function for the team by coordinating and processing invoices and other financial transactions within agreed timeframes and in line with finance processes
- Arrange detailed travel arrangements and compile all the relevant documentation for travel-related meetings for the team as and when required
- Support any ongoing infrastructure queries from the advisors and escalate to relevant vendors
- Ensure stock take is managed on a monthly basis (i.e., laptops, headsets, dongles, welcome packs and graduations items)
- Escalate faults and other housekeeping issues with the relevant service provider and ensure queries are resolved within the given timeframes
- Proactively manage the diaries Sales Executives within the Red Practice along the coordination of the diaries of team members for any meeting and/or events required.
- Contribute to the development of the Red channels annual calendar
- Manage all incoming queries, calls and SLAs of the team by assigning, directing and escalating all queries.
- Undertake any ad-hoc administrative, business development, operations and project duties as required
- Ensure that all Red practice tasks/duties are carried out in accordance with Momentum Financial Planning procedures and standards.
- Continuously monitor turnaround times and quality standards and resolve issues speedily to enhance client service delivery
- Build and maintain relationships with internal and external stakeholders
- Contribute to the process of negotiating objective and realistic service level agreements, monitor appropriateness, and recommend adjustments
- Deliver on service level agreements made with clients and internal and external stakeholders in order to ensure that client expectations are managed
- Make recommendations to improve client service and fair treatment of clients within area of responsibility
- Participate and contribute to a culture which builds rewarding relationships, facilitates feedback and provides exceptional client service
- To accurately resolve each transaction / query within SLA
- Develop and maintain productive and collaborative working relationships with peers and stakeholders
