**INTRODUCTION**
An Opportunity awaits for a well-rounded, financially minded individual with excellent communication and interpersonal skills to take on the role of **General Manager** for a Lifestyle & Farming Estate, with the main focus being to preserve and enhance the common property by ensuring that the Estate owners, owners’ staff and contractors abide by the constitution and Rules., and to ensure that the Estate is well managed with respect to the maintenance of infrastructure (roads, electricity) as well as to properly secure the estate in terms of security, whilst constantly adhering to budget guidelines
**ROLE RESPONSIBILITIES**
- Foster a sense of community spirit and awareness by means of regular communication and updates to residents.
- Implement and innovate systems to improve the overall profitability by continually monitoring/measuring the service providers to ensure that the estate systems and staff are working to the best standard possible.
- **Committee/AGM & SGM Meetings**:_
- Ensure that the committee meet monthly or in line with the constitution.
- The GM shall produce a meeting agenda, as well as provide the committee with feedback and information to enable the committee to make informed decisions.
- Ensure that all meetings are recorded and that accurate minutes are documented and are signed off and filed.
- The GM will be responsible for sending out all communication and notices as per the constitution when setting up any AGM or SGM meeting.
- GM to ensure that all resolutions voted on are accurately recorded and that should there be any changes to either the constitution and rules these changes are implemented accurately.
**_Finance: _**
- The GM’s role is to ensure that the Estate is efficiently run within the approved budget provided.
- The following reports are produced monthly for the review of the committee:
- Accurate and timely monthly management accounts in the form an income statement where actuals are compared to the approved budget with commentary.
- Monthly cash flow position
- Monthly outstanding debtors’ reports.
- Approval of creditors invoices and releasing of payments.
- Handing over of debtors that are within 60 to 120 days.
- Ensuring that the final year end trial balance is accurate before sending to the auditors.
- Liaising with the auditors and dealing with any audit queries for final annual financial accounts sign off.
- Present the audited annual financial statements and proposed budgets to the residents at the AGM/SGM meetings.
- The GM plays a pivotal role in setting up the annual budgets for AGM approval.
**_Staff: _**
- The GM will be responsible for the management of the staff, which consist of an administrative person, estate manager and eleven estate staff.
- Regular meetings (informal daily meetings and a formal meeting once a week) held with the estate manager in order to receive feedback on current Estate affairs.
- Ensure that the estate staff comply with all legal requirements and employee contracts as governed by the Basic Conditions of Employment Act.
- Manage and control staff shifts, working hours and annual leave.
- Carry out disciplinary action as and when required.
- Ensure that staff are trained and upskilled in their various roles.
- Ensure that all staff have the necessary PPE for their respective roles.
- Ensuring that the necessary equipment is purchased to enable staff to carry out their roles.
- Ensure that all vehicles are well maintained.
**_Security: _**
- Oversee and manage the appointed security provider in terms of the contract, mandated committee requirements and security protocols.
- Ensure that any incidents are recorded and appropriate feedback and actions are taken by the appointed security provider.
- Ensure that the fence line and access points are maintained and in good working order.
- Ensure that all the internal network systems are working on a daily basis.
- Ensure that security emergency procedures are in place for all occurrences.
- Maintain the integrity of the biometric database to ensure that the access control is live and accurate.
- Produce owner staff reports every two months to ensure that the biometric database is accurate.
- Participate in local forums and network with all local communities.
- **Fire Break Compliance**:_
- Manage and ensure that all mandated fire breaks are in place before the start of fire season.
- Follow the set guidelines as determined by the LRFPA for the burning of all firebreaks and controlled burns within the Estate.
- Dealing with Bobby Hoole (LRFPA) regarding our Exemption for the Collective Fire Agreements, and getting the exemptions renewed.
- Ensure that staff have adequate fire PPE and firefighting equipment is ready prior to fire season.
- Ensure that there are sufficient fire response roads and that these are accessible.
**_Electricity: _**
- Ensure that the electrical infrastructure is maintained and in a good working order.
