**Key Task**
- Including but not limited to:

- Liaise with customers regarding their spares & OE enquiries.
- Prepare quotations on BAAN LN as per the SOP (QTC 100 sales quotations).
- Submit quotations to customers for parts required follow up and update in LN.
- Capture quotations submitted on Salesforce.
- Load customer orders on BAAN LN as per the SOP (QTC 100 sales order entry).
- Generate pro-forma invoices should they be required for shipment.
- Expediting of customer orders and back orders including forward planning to avoid late deliveries/ improve OTD.
- Compile Shipments for handover to Exports Team for Africa.
- Prepare Commercial Invoices & Packing lists.
- Generate customer invoice once shipment has been confirmed by exports for delivery of goods to local customers.
- Monitor and resolve customer GIT issues.
- Contact customers for outstanding order reports for reconciliation Bi-monthly.
- Assist debtor’s department in maintaining / improving debtors ageing.
- Manage pre-paid accounts including pro-forma invoices and debtor’s allocations.
- Capture and filing of POD’s and Export documents.
- Monitor branch debtors, consolidating weekly reports and updating management on any concerns or irregularities.
- Review of credit notes and NCRs before processing.
- Compile reports for ROA & SADC’s Regional & Country managers relating to orders administered by the branch.
- Provide support to the team across departments - Exports, procurement & engineering.
- Co-ordinate and control the annual branch stock take and monthly consignment cycle counts.
- Adhere to SHE and Housekeeping requirements at the branch and customer sites.
- Always adhere to the Duty of Care Policy.

**Inherent Requirements**

**Minimum Experience**:

- At least 6 years related experience in a similar function
- Thorough knowledge of International Trading Terms (Incoterms)
- MS Office - Intermediate to advanced.
- Infor LN
- Sales & Marketing or Administration Qualification
- Grade 12
