Duties/Pligte
- Representing the Centre for Student Administration (Tygerberg Campus) on the Stellenbosch Campus;
- Supporting all Faculty of Medicine and Health Sciences (FMHS) programmes offered on the Stellenbosch campus regarding their central student administration matters;
- Providing support to the Faculty Administrator regarding operational and strategic matters to enable the Instructional Offerings Office to function optimally;
- Student administration of the Faculty of Medicine and Health Sciences (FMHS) with regard to selection and admission of undergraduate and postgraduate students, and the registration and course of study until qualification of undergraduate and postgraduate students of the FMHS;
- Administration of the student registration programme on the Stellenbosch campus with support as needed on the Tygerberg campus at the start of the academic year;
- Providing support to the faculty administrator to administer the quality assurance processes of the operational aspects of programme administration, which include the processes regarding the appointment and monitoring of internal and external examiners for structured master's programmes;
- Administration of the examination process of theses of structured master's programmes;
- Providing training and support to academic and PASS staff (professional, administrative, and support services) regarding programme administration processes and functions in the FMHS;
- Reviewing and updating student records in order to support the management of the integrity of academic records of the Faculty;
- Identifying cum laude student cases before graduation ceremonies;
- Handling undergraduate and postgraduate programme inquiries and guidance to students, academic staff and external stakeholders;
- Providing support with the updating of the FMHS yearbook, SU and FMHS websites, selection guidelines and other FMHS internally and externally published information as required from time to time;
- Service delivery before and during graduation ceremonies and pledge ceremonies of the FMHS;
- Implementing follow-up actions with regard to outstanding programme information and documents in collaboration with the relevant academic environment;
- Providing advice to students and staff regarding SU's policies and the programme-related rules, regulations and guidelines and ensuring that the programmes' administration processes comply with the above;
- Writing reports relating to the above portfolio;
- Perform ad hoc tasks as operationally required.

Job Requirements/Pos Vereistes
- A university degree or an equivalent qualification;
- At least three years relevant experience within a higher education institution, or at least five years related experience;
- Proven ability to work with a high attention to detail and maintain confidentiality;
- Proven organisational, planning, prioritising and administrative skills;
- Proven ability to function effectively under pressure and to keep to strict deadlines;
- Excellent communication skills in English, and proven ability to effectively function within a multi-lingual and multi-cultural environment;
- The ability to manage problem and conflict situations in a diplomatic manner;
- Problem-solving and critical thinking abilities;
- Excellent interpersonal relationships with students, colleagues and other stakeholders;
- Proven computer literacy which includes a good knowledge of the Microsoft Office package;
- Proven experience in database management;
- The ability to work as part of a team;
- Willingness and availability to work irregular hours at times.

Recommendation/Aanbeveling
- A postgraduate qualification;
- Knowledge of the New Qualifications Framework (NQF);
- Experience with the introduction of new programmes and with the relevant policies and processes of the Council on Higher Education (or similar institutions);
- Experience and knowledge of the health sciences context;
- Proven record of student-centered service delivery;
- Proven experience of the software used within the SU environment;
- Proficiency in Afrikaans and/or another official South African language.
