Hire Specialist

Job Title: Hire Specialist Area: Cape Town, WC SPECIFICATION An equipment hire business is looking for a Hire Specialist to supply an efficient solution to the client’s rental needs. From the initial start date you need to familiarize yourself with sufficient product knowledge in order to be able to provide the best possible solution for a costumer hire requirement needs. You will primarily be responsible for the booking of equipment, registration of new customers, preparing quotes, issuing invoices, processing payments, providing technical assistance, ensuring the cleanliness of the shop front and handling customer complaints effectively. The Hire Specialist reports directly to the Store Manager. DUTIES & RESPONSIBILITIES, NOT LIMITED TO: Customer relations: Handle customer equipment bookings (walk in or via telephone) All new prospective customers (New client is defined as “details not listed on the database”) needs to be registered according to SOP Prepare and follow up on client quotations Provide technical information and assistance to customer enquiries Take personal responsibility for handling escalated queries from irate customers Ensure all queries are resolved in a satisfactory manner Assist customers when returning hired equipment Report any unresolved customer queries to management that requires immediate attention. Product knowledge It is important for the Hire Specialist to become familiar with the product range. The idea is not just too simply process the order request from the customer BUT we also have to: Determine the need; Provide the best possible solution in supplying the correct equipment for the job Ensure the client/operator knows how to correctly and safely operate the equipment. To provide the best possible client service you will be required to provide customers with correct technical information and operating instructions. Hire and Sales procedures The Hire Specialist must promote, manage and administrate all the hire and sales processes of the outlet. The process of Hire entails the following: Create new hire contract (create new cash client on database, account clients captured by debtors department and approval thereof) Manage Hire Contract while equipment is on hire (expected return date, cash deposit, order expire date, down time, off hire, remove equipment from site, service / exchange equipment on long term hire, breakdowns) Process payments and additional deposits while equipment is on hire Amend hire contract as equipment is systematically returned Complete hire contract as all hired equipment is returned Follow up on outstanding payments and accounts overdue (make notes of all calls made) All transactions must be processed daily Invoices and hire contracts (proof of delivery /POD) must be filed once completed Cash Up and reconcile takings daily Month end account customer carry over Process and distribute customer statements after month end carry over The Process of Sales entails the following: Promote and up sale consumable stock with every hire Create, file and follow up on sales quotes (also note reason for not getting sale) Process sales quotes into invoices and capture payments Marketing The Hire Specialist must be aware of any opposition initiatives in his local area. This is generally done by keeping in touch with our regular clients and being sensitive to any behavioral changes in the client hiring trend. Follow up on clients that have not hired equipment for longer than a month. Spend time with the drivers and encourage them to bring in new client leads. Be aware of seasonal demand in hire equipment (winter vs summer) and plan for busy periods. Workshop Administration All equipment in the workshop awaiting service, repair or accessories must be booked into the workshop via Job card. The Job card must reflect the reason why in workshop as well as the expected completed date. Job card schedule report must be done minimum once per week to follow up on equipment in workshop. Part must only be purchased / supplied once the validity of the part required is confirmed. Purchase orders for parts are created based on the Job card request via the workshop. Minimum Re-order levels must be in place for all fast moving parts to ensure that equipment turnaround time is short. It is best practice to physically exchange old parts for new parts. Stock counting of parts in store must be done minimum of once per month. General duties Each staff member is responsible for the general appearance and cleanliness of the outlet. The customer reception area and the Hire Counter must be neat and presentable. The display area must be kept neat and clean while the equipment on display must be grouped according to categories. Any new hire items must have a preferential place on the display floor to inform walk in customers of its availability. The consumable display board should be visible to the customer and arranged in an orderly fashion
