**Job Summary**
The Ortho & Administrative Assistant's duties are to perform a variety of administrative, orthodontic and clerical tasks as it is a broad and vital function of the business. Duties of the Administrative & Ortho Assistant include providing support to our managers and employees, Assisting the Dentists, accounts management, assisting in daily office needs and managing our company’s general administrative activities.
**The Ortho & Administrative Assistant's job description includes, but not limited to the following principal duties**:
▪ Responsible for receiving patients by greeting them in person or on the telephone; answering or referring inquiries.
▪ Maintains employee and department directories as a guide for directing patients.
▪ Schedules meetings and appointments for patients.
▪ Documents and communicates actions, irregularities, and continuing needs to maintain continuity among work teams.
▪ Contributes to team effort when required.
▪ Operates telephone at the front desk as well as WhatsApp communication with patients
▪ Takes messages and communicates them to appropriate stakeholders.
▪ Handles outgoing mails; sorts and distributes incoming mails.
▪ Responsible for placing outgoing calls as needed.
▪ Drafts, reviews, and proofreads office documents and patient folders.
▪ Responsible for basic data entry as assigned.
▪ Maintains and stocks basic office supplies.
▪ Responsible for operating and maintaining office machines, including printers, copiers, and fax.
▪ Ensures compliance with company rules and regulations in the reception area.
▪ Assists dentists with various orthodontic and dental procedures.
▪ Accounts management.
▪ Verifying claims
▪ Interacting with various medical aids
▪ Recording and reconciling of patient accounts.
▪ Maintaining general duties around the practice.
▪ Follow instructions from heads of departments.
