**Auto req ID**: 268953BR - Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. - Act as a liaison and provide support to the executives. - Work closely with the executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate the executives’ needs in advance of meetings, conferences, etc. - Arrange and handle all logistics for leadership meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes. - Complete a broad variety of administrative tasks that facilitate the executive’s ability to effectively lead the function, including: assisting with special projects; designing and producing documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements. - Administration and co-ordination of all employees’ interactions with industry bodies and trade associations and maintaining accurate and concise record keeping of these meetings/events/ workshops. - Manage stakeholder and related databases and tracking tools - Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the corporate affairs function and / or the organisation, including those of a highly confidential or critical nature. - Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect executive’s style and organization policy. - Invest in building long-lasting relationships both externally and internally and with key stakeholders. - Provide hospitality to all guests and help to create a welcoming environment - Other projects/duties as assigned for the overall benefit of the organization. - Acting as the point of contact between the executives, VPS, Directors and internal or external colleagues - Maintaining the current filing and database system, and looking for ways to improve current systems Extensive travel arrangements - Organising, co-ordinating and planning meetings/conferences - Preparation of reporting from Excel and internal platforms/systems where required - Budget monitoring & PO management - Management of weekly priority items and operational plan dashboard. - Handling of all incoming mail - action and distribution as appropriate - Ad hoc project management - Manages and maintains a filing system of paper and electronic records by organizing the system, creating files and records as necessary using judgment and knowledge of requirement. - Develops and manages the function’s operational accounts through maintaining financial records, reconciling invoices to Financial Services reports, assist in reviewing budget reports and summaries, making recommendations regarding expenditures within governance guidelines. - Coordinates the flow of incoming and outgoing information, correspondence, documents, and related forms by processing, screening, and routing related materials and correspondence, proof reading and review documents and creating new integrated seamless procedures as needed. - Focused on self-directed professional reading, developing and maintaining professional contact with colleagues, attending professional development seminars, and attending training and/or courses as required - Liaison with Kgodiso Fund and Basumi Workers Trust **Qualifications/Requirements**:** Key Skills/ Experience Required** - Secretarial qualifications equal to a 3 year post-matric -
