Coordinator - 3rd Party Projects

Key Tasks:
Project Coordination
- To have understanding of client’s current assets on MTN’s infrastructure and identify which towers remain vacant and offer those towers to the client.
- To receive site plans from client and distribute to RP; TX and Imp and receive feedback within 48hours
- To draft formal lease schedule and submit to client and receive back and finalise approval letter and submit to client
- Work consistently according to standard operating procedure
- To submit applicable lease schedules and landlord leases to finance to ensure effective payment and billing within prescribed time frames
- To iaise with landlords to accommodate 3rd parties in the shortest time frame and give effective feedback to the client as often as they may require.
- To co-ordinate with implementation department if tower upgrades are required and to get effective lead times to communicate back to the 3rd party applicant/Client.
Database Management
- To keep accurate database and records of all approvals; rejections; cancellations and lease schedules. To act as a tower company co-ordinator pushing projects for clients in order to generate income on MTN’s assets.
- To update database accordingly and ensure Lease schedule is fully signed and submitted to BTS finance for billing purposes.
- Maintain a complete and accurate database of all towers available space in order to market such space to existing 3rd party clients in order to maximise MTN’s greenfield assets
- Conduct analysis of data base and identify areas where value can be added
- Understand and communicate the consequences of not maintaining an accurate database
- Accurately Capture input into database as documentation is the cornerstone of any BTS site and therefore accuracy is not negotiable
- To update various data forms as may be required for ensuring leases are paid correctly and that data is captured on MTN’s tool of choice to ensure accessible information as may be required from time to time.
ADMINISTRATION
- The documents associated with revenue generation and expense are legal documents, and therefore safekeeping and effective management is a requirement.
- Submit Lease Schedules to BTS finance and keeping proof of receipt
- Loading lease schedules accurately and effectively onto MTN’s preferred database and ensuring data is updated regularly
- Scanning and saving all pertinent documents onto database and ensuring that the filing room is kept neat and tidy at all times and that all original documents are safely filed in filing room as may be required.
- To draft; receive and process lease schedules keep record of all documents submitted to finance.
- To administer these documents safely on MTN premises and ensure soft copies are available on a database for backup
- To complete lease data forms accurately to ensure effective billing and paying of leases associated with 3rd party projects
REPORTING
STAKEHOLDER MANAGEMENT
- Engage with landlords associated to the MTN site and arrange for technical site survey between 3rd party applicant; implementation department
Role Dependencies:
- Understanding procedures to be followed for 3rd party projects and deal with each project from end to end, taking complete ownership of each project.
- Understanding time frames required to achieve project success and ensure all depending factors are notified timeously of their input required in order to achieve success.
- Understanding MTN standard lease agreement terms and whether lease negotiation is required to accommodate 3rd party applicant/client at particular site.
- Understanding MTN internal processes in order to process a lease agreement and lease schedules
- Understanding NIMS property data forms ensuring accuracy thereof.
- Efficiency of workflow processes and internal support functions
Authorities: Financial and other decision making authorities, e.g. engaging contracts with suppliers.
- Engaging with Turnkey Vendors and Site Acquisition department in relation to ‘outgoing 3rd party projects’
- Engaging internally with Radio planning; Tx and Access Implementation department, as well as BTS finance
- Landlord negotiations:
- Corporate landlords; Private landlords; Government departments such as Public works - negotiating leases for extra space for clients/3rd party applicants
- Approve and manage all expiring 3rd party lease schedules as per contract principles
- Accrual database management for all sites that do not have leases or are in the process of being negotiated (revenue)
- Ensuring leases are signed within the applicable delegation of authority and in line with Legal principles
- BTS finance; Legal and Regulatory; Commercial Legal;
Minimum Requirements
**Education**:
Minimum 3 year National diploma/degree in:
- Town & Regional Planning; Property Management; Environmental management; Legal; Contract law; Business administration; project management; lease administration; project administration
