**Role Profile: Operations Manager - Cleaning**

**General Job Information**:
**Job Purpose**: To proactively ensure operational service delivery excellence on clients requirements through the Contract cleaning team, as well as ensures contract profitability across a client cluster in the region whilst continuously seeking quality and service improvement interventions whilst considering and mitigating all associated risks in the cleaning scope of work.

**Minimum Experience**:

- Cleaning industry experience essential
- 5 years or more management experience in a service related industry preferable
- Experience in HACCP cleaning methodologies (Food manufacturing and handling environments)
- This would entail implementing a cleaning solution on a HACCP client
- Being able to demonstrate that they have managed a portfolio that included HACCP clients
- Working knowledge of Labour Legislation
- Exposure to unionized environments would be an advantage
- CCMA Conciliation and Arbitration experience desirable

**Minimum Qualification**:

- Minimum Gr 12. or equivalent NQF4 qualification
- HR / Business Management/Project Management qualification essential

**Primary RESPONSIBILTIES**
- Ensure Contracts Managers and Cleaning staff are recruited to the highest cleaning standards and that administratively all HR and IR processes are managed to the company standards
- Monitor and manage weekly timesheets and activity reports for these staff in terms of quality, payroll compliance and discipline
- Ensure that all site based management and cleaning staff are inducted and that additionally all site based standard operating procedures are taught.
- Ensure absolute alignment of site-based staff to the cleaning standards agreed to and that all health and safety aspects and consumables risk management responsibilities are transferred and acknowledged.
- Monitor IR activity of cluster and include on stats dashboard
- Escalate potential risk to client or Senior Operations Manager/Business Unit Manager/ Employee Relations Manager
- Chairing of disciplinary hearings as required
- Ensure understanding of, changes to and compliance with relevant bargaining council (BCCCI ) or Statutory cleaning rates applicable and understanding the relevance of these provisions to various contracts
- Support Senior Operations Manager/Business Unit Manager/ Employee Relations Manager in preparation for CCMA cases
- Handle CCMA cases when required
- Drive harmonious industrial relations climate through contact meetings with relevant union officials and shop stewards when required
- Analyse shift management rosters, absenteeism vs replacements, management of leave.
- Safety, Health and Environment Compliance
- Coordinate relevant site risk assessment and compliance requirements with appointed H&S manager and clients.
- Monitor IOD’s and analyse and investigate trends
- Make recommendations in terms of preventative measures

Pre-sales
- Attend site visit with sales team to conduct needs analysis
- Assist Sales to compile costing
- Assess availability of operational resources to deliver on client requirements
- Position the I Can proposition with clients
- Brief resource team of potential cleaners required for client

Post-sales
- Provide input into the development of the transitional start up plan
- Execution and Monitoring of transitional plan
- Ensure final sign off with Sales
- Project coordination for new sites ensuring uniforms, PPE, Access Cards, transport, Equipment and Chemicals are ordered and ready and delivered to secure facility on client site day before go live.
- Ensure team compliance with payroll standard operating procedures
- Attend to escalated payroll queries
- Monitor and Manager labour cost percentage against costing to ensure there is no cost creep.
- Analyse shift management rosters, absenteeism vs replacements, management of leave
- Ensure relevant Bargaining or Statutory increases are applied at the relevant time.
- Ensure delivery of client reports by Contract Management team when required and monitor quality thereof
- It is advisable although not critical for the Operations Manager to utilise a weekly operations dashboard which is updated weekly to ensure smooth running of operations for cluster
- Monthly reporting to Business Unit Manager re full spectrum of responsibilities including contract specific figures
- Compile client costings and negotiate increase annually
- Ensure each site profitability is managed according to costing and efficiencies found wherever possible.
- Provide forecasts for Business Unit Manager when required
- Continuously liaise with credit control and client to ensure escalated queries are resolved
- Review of age analysis monthly and in accordance with SLA and flag any issues
- Attend telecons when required to resolve problem accounts
- Analyse weekly stats per responsible client and highlight inconsistencies or irregularities and investigate reasons for these
