What Your Day-to-Day Will Look Like:
As our Facilities Administrator, you will be the face of the business, based at the front desk, and responsible for creating a professional and welcoming environment for clients, visitors, and staff. You will interact confidently with both internal and external stakeholders, ensuring that all communications reflect the company’s standards. Maintaining a tidy, organized, and presentable reception at all times will be a key part of your role.
You will take ownership of access control as a priority, ensuring that all access databases and trackers are accurate and up to date. Oversight of site security, including CCTV monitoring and coordination with security teams, will form part of your responsibilities. You will proactively manage the facilities ticketing system, ensuring that all requests are logged, actioned, and resolved within SLA timelines, while effectively managing multiple queries in a fast-paced environment.
You will be responsible for coordinating and tracking parking bay allocations, managing lockers and office supplies, and overseeing asset control, including issuing, tracking, and maintaining equipment. Additionally, you will manage transport operations for staff and clients, coordinating pick-ups and drop-offs, monitoring efficiency, and reporting on transport audits. Your role includes supervising onsite contractors, coordinating access, and ensuring that all work permits and necessary documentation are completed prior to the commencement of any work on site. You will also liaise with landlords, manage maintenance requests, arrange callouts when necessary, and respond promptly to facility emergencies, ensuring mínimal disruption to operations.

This role also includes supporting health and safety compliance, ensuring that all facilities operations adhere to company and legal standards, and contributing to sustainability initiatives across sites.
