Event Bidding Research Officer

**Job Purpose**:
Provide quality research and research intelligence to support the pursuance and winning of business event bids submitted on behalf of the organisation. Also provide research to support business decision-making processes and the bid approach within Convection Bureau.
**Bid Research Support**:
- Conduct and provide diverse research on prospective events with a view to generating leads.
- Identify, analyse and understand new potential markets including existing competitors and trends.
- Compile a knowledge of research, intelligence and internal business information, maintained to support bid development activities
- Qualify potential business events and opportunities.
- Where applicable, connect with suitable local partners.
- Collect and provide bid related information.
- Identify and coordinate suitable bid partners for the submission of the bid
- Provide support for convention bureau activities and other MICE related activities as directed by the CEO.
**Bid research analysis and reporting**:
- Conduct detailed analysis on the bids research in to identify potential events.
- To provide research that can be used to. Do a detailed analysis if we have potential or not.
- Compile and present bid intelligence reports and submit to Event Bid Research Manager.
**Development of Bid Response**:
- Assist in developing and updating bid proposal templates.
- Collate information to customise bid document content as per project management timelines.
- Assist in the preparation and compilation of detailed bid documentation, this includes analysis of funding requirements, suitable venues, service providers.
- Coordinate the development of suitable marketing material and include the destination printed material, design of destination video.
- Coordinate the printing and courier process of the bid documents to the bid committee and all the relevant parties in the required format.
**Building and sustaining relationships with Convention bureaus bidding team**:
- Maintain a database of all stakeholders and suppliers as per the specifications of the bid.
- Keep in regular contact with the project teams on progress of the research,
- Attend regular bid project meetings and alert the Event Bid Research Manager of any problems that may arise in the conduct of the research.
- Form strategic partnerships with relevant stakeholders.
- Host site inspection, familiarisation trips and educational sessions.
**Personal development **Performance management**:
- Allocate and coordinate a project team and provide support and direction.
- Motivate and inspire team members to deliver allocated tasks.
- Ensure that own Performance Management Contract is signed.
- Ensure that own Personal Development Plan is populated and agreed with own line manager.
**Minimum Qualification Requirements**:
- A Diploma in Tourism, Marketing or Bachelor of Arts majoring in a Social Sciences.
- Post-graduate qualification in Tourism or a social science and social research will be an added advantage.
- Minimum of two (2) years working in the MICE industry
- Experience in event hosting experience and bidding space
- Experience in conducting bid or lead research
- Experienced in preparation of bids and coordinating bid partnerships
- Experience in coordination and planning
- Experience in coordinating site inspections
- ICCA, UIA, SITE, UFI database
