**POSITION PURPOSE**

Responsible for financial and lease administration as assigned. Keeps files, records and accounts accurate and current. Completes related reports, summaries, and records, and performs related clerical duties.

**ESSENTIAL FUNCTIONS AND BASIC DUTIES**

**Assumes responsibility for the accurate and timely completion of assigned lease administration functions, including**:

- Prepare/open files based on expiry profile tracker. Maintain files on an ongoing basis and conduct the necessary follow ups to ensure files are complete
- Drafts and prepares leases
- Compile Full lease pack for internal vetting prior to client signatures
- Load all supporting documents, per transaction on Upd8 and BOX in the specified naming convention
- Request CASA screening as per Client KPI measurement and requirements. Ensure that CASA is within validity period.
- Ensure Windeed & VAT verifications have been done before negotiations start for all leasing staff
- Assist leasing staff with Horizon information
- Ensure at all times that Broll Invoicing are KPI compliant and ensure zero KPI failures be issued by Absa.
- Reports and Trackers are accurate, current and timely.
- Prompt problem resolution to ensure smooth interaction between divisions
- Compile and maintain trackers across the retail portfolio when requested.
- Compile fact sheet of retail opportunities for new client presentations when requested
- Checking of Lease packs for signature.

**Assumes responsibility for establishing and maintaining effective communication and coordination with Company personnel and with management.**
- Maintains regular contact with other departments to obtain information and/or to correct transactions.
- Assists Account management personnel as needed.
- Keeps management informed of area activities and of any significant problems.
- Attends and participates in meetings.

**Assumes responsibility for related duties as required or assigned.**
- Ensures that work area is clean, secure, and well maintained.
- Completes special projects as assigned.
- Any other duties related to loading and processing of lease renewals

**PERFORMANCE MEASUREMENTS**
- Lease documents, records, and reports are accurate, current, and timely.
- Good working relations exist with Company personnel.
- Good communication and coordination exist with Account Management and Accounting personnel. Assistance is provided as required.
- Management is appropriately informed of area activities.
- Lease administration is completed in accordance with established standards, policies, and procedures.

**EDUCATION/CERTIFICATION**:

- Matric.
- Good understanding of “Legal Leases”

**SKILLS/ABILITIES**:

- Well organised and detail oriented.
- Good math skills.
