Job Title - Office Manager (post level 11) Job ID: 6021 - Organizational Unit - University of the Free State -> Vice-Rector: Operations -> Protection Services - Contract Type - Permanent - Occupational Level - Semi-Skilled - Location - Bloemfontein Campus - Bloemfontein, FS ZA (Primary) - Closing Date - 7/2/2025 - Description **Duties and responsibilities**: - Manage the diary. - Consolidate monthly, quarterly, and annual reports. - Vet queries and complaints directed to the office of the Senior Director and direct them to the relevant sections. - Proofread all submissions going out of the department, such as to governance structures of the university for example the University Management Committee, Rectorate, etc. - Coordinate travel and accommodation arrangements for the Senior Director and his deputies. - Stand in as a Finance Administrator when needed, performing all associated tasks, including procuring goods and services. - Generate task lists for reporting lines from meetings and follow up on tasks to be performed. - Coordinate committee meetings, preparing and circulating agendas and other support documents needed for the meetings. - Render secretarial services during meetings chaired by the Senior Director, such as taking minutes and ensuring timely circulation to members, following up with members on feedback for future meetings. - Coordinate logistics for planned meetings, including venues and required support infrastructure. - Supervise cleaners, Front Desk, and interns. - Ensure the availability of training plans for the department. - Liaise with the Training and Development section of HR on behalf of the department. - Communicate available training to staff in the department timeously. - Keep updated records of all training attended by members of the department. **Inherent requirements**: - Bachelor’s degree or an advanced diploma/BTech degree/postgraduate certificate on NQF Level 7 in Office Management/Office Administration/Public Management/Public Administration. - Minimum of two (2) years’ relevant working experience relating to the duties and responsibilities. **Recommendations**: - A valid South African driver’s license (attach a copy). - Exposure to a safety and security environment. - Experience within the higher-education environment. - Knowledge of university systems, policies, and procedures. - Post Graduate Diploma or Honours on NQF Level 8 in any of the inherent requirement qualifications. - Advanced computer literacy. - Competencies **Required competencies**: - **Results orientated.**: - The ability to cope with a frequently changing environment and to adapt to evolving situations. - The ability to be reliable, responsible, dependable and to fulfill obligations. **- Strategic thinking.** - The ability to deal with several activities at a time. - The ability to plan work and to follow plans. **- Business Acumen**: - The ability to adhere to rules and strictly follow work regulations. - Proficient in using MS Office. **- Leading.** - The ability to lead, take charge of situations and offer opinions and directions to others. - The ability to be cooperative with others, display a good-natured attitude, and encourage people to work together. **- Building coalitions** - The ability to negotiate, sell, influence, and to persuade others. - The ability to interact with others and establish personal connections with people. **Assumption of duties**: 1 April 2025 **Closing date**: 7 February 2025 **Salary**: The annual remuneration package, including benefits, is _R 447 323.31 - R 562 750.48 _per annum, depending on the budget available for the position, relevant work experience and qualifications. **Fringe benefits**: (Subject to specific conditions): pension scheme, medical aid scheme, group life insurance, housing allowance, leave and sick leave, service bonus, and study benefits. **General**: - A detailed curriculum vitae and cover letter. - Copies of qualifications or proof of qualifications obtained (please provide the SAQA accreditation in the case of foreign qualifications). - A copy of your identity document (SA ID or passport for foreign nationals). - Proof of registration with a Professional Body (if required). - A copy of your driver’s license (if required). - Confirmation of employment from current employer / last employer if unemployed (only applicable to external applicants). **Enquiries**:
