**Job Advertisement: Finance and Operations Administrator for a Group of Companies**
**Position Overview**:

The role will also involve personal assistant responsibilities, such as handling sensitive documents and managing the business owner's schedule and communication.
**Key Responsibilities**:
**Finance Administration**:
- Process and manage bank transactions.
- Oversee accounts
- and aged receivable and payables.
- Develop and maintain project and company-wide budgets, monitoring financial performance and identifying cost-saving opportunities.
- Reconcile bank statements with company records.
- Prepare and present financial reports, including monthly sales, expenditures, and year-to-date summaries.
- Collaborate with outsourced accounting and payroll resources to ensure accurate processing and reporting.
**Operations and Procurement**:
- Collaborate with the site manager and stock controller to ensure timely procurement of materials.
- Create and manage purchase orders.
- Track and manage inventory, working with the stock controller to document materials received, used, and remaining.
- Oversee HR tasks, including recruitment, onboarding, employee records, and timesheet management.
- Manage general office functions, including correspondence, scheduling, and office equipment maintenance.
- Ensure compliance with health and safety regulations.
- Track and renew vehicle licenses and insurance, coordinating services and inspections as needed.
**PA Support to the Business Owner**:
- Handle all confidential and sensitive matters, ensuring the business owner’s personal and professional information remains secure.
- Act as a gatekeeper for communications, filtering and addressing priority matters while ensuring efficient operations.
**Admin Support**:
- Work closely with the Admin and Sales Assistant, delegating tasks and collaborating to ensure all responsibilities are handled effectively and efficiently.
**Skills & Experience**:
- Strong background in financial management and secretarial duties.
- Proficiency in procurement and administrative processes.
- Excellent coordinating, delegation and prioritizing abilities.
- Strong communication skills for collaboration with internal teams and external providers.
- Proficiency in financial and office management software such as Xero, Hubdoc & MS Office Suite.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
