Procurement Specialist

Job Purpose

Assists with the Procurement of Warehousing, Logistics, 3rd Party Co-packers, Clearing & Forwarding, Facilities, IT and HR services across Africa that are under the control of the Regional Procurement office. Maintains strong working relationships with Suppliers to enable the purchasing of innovative products in line with time, cost and quality requirements with the Category Manager.- Will also support the Category Manager with Global sourcing directives, where Local third-party service providers are appointed.- Will provide regional support for initiatives managed by Category Manager and Markets not covered within this scope where required.- Team with key stakeholders in the business to support overall local and regional business.- Provide procurement support for all related projects

Key

**Responsibilities**:
- Execute RFQ’s for category- Execute order processing (order placement and GRN where required) within JDE- Collate all necessary category analytics where required- Analyze spend and user specific requirements- Conduct market research to assess market dynamics related to the category/ies- Support and localize sourcing strategy execution- Ensure readiness across all countries for strategy execution with Category Manager- Escalate where necessary supplier performance issues- Support collaborative optimization activities where applicable- Handle second level escalations with suppliers/internal stakeholders to resolve performance issues- Collaborate with supplier and internal stakeholders to ensure smooth implementation of Category Managers sourcing outputs / agreements- Ensure suppliers are correctly enabled through ERP- Ensure contractual terms & conditions are effectively “operationalized”, identify and track benefits, while developing strategies for negotiation, risk and innovation together with stakeholders- He/she supports the Category Manager when sharing best practices and support to stakeholders- Maintain database of contracts and approved suppliers.- Supplier identification, selection and Relationship Management - outside of Global contracts with Category Manager

Reporting- Support the development and implementation of Monthly Reports - led by Category Manager- Ensure all databases are updated on sourcing activities and status’- Maintain and report on Purchase Orders created within Category.

Negotiation with Suppliers- Support where required the execution of negotiation strategy aligned and execute with internal stakeholders - Category Manager / Procurement HOD to lead the process.- Suppliers briefed in accordance with Technical Specifications and requirements from business.- Support commercial negotiations with suppliers to ensure best fit for purpose items are contracted in line with Commercial scope and specifications.- Record all negotiations outcome and share in monthly reporting

Evaluate, categorize, and select Preferred Suppliers- Conduct Supplier Vetting annually and as new Suppliers are added- Compile a preferred supplier database per Category per region which is updated annually- Put NDAs in place for all suppliers - sourcing activity led- Put SLAs in place for all suppliers - sourcing activity led- Supplier and contract Relationship Management, record keeping of all engagements

Supporting documentation- All Supporting documentation created and maintained- Regional guidelines and processes filed centrally

Build and maintain effective Relationships with all stakeholders

Liaise with external suppliers- Effective relationship management with various suppliers- Suppliers understand minimum quality standards and standardized specifications required- Suppliers understand Pernod Ricard expectations- Continually updated on new products entering the market - list updated and communicated to internal stakeholders- Communication of procurement policies and source to pay training of external suppliers.

Communication and interaction with all stakeholders- Professional communication, behavior and actions result in credibility, trust and respect with all work partners
