Provide administrative support to the business
Provide PA assistance to the Executive team
Ensure the confidentiality and security of all documents
Organizing diaries, including the scheduling of meetings, issuing of calendar invites and booking of meetings
Tracking ongoing projects
Keep track of important submission dates
Assist in the front office (greeting and screening of visitors, answering telephone calls)
Taking calls and messages in a professional manner
Co-ordinate and assist with monthly EXCO / business meeting and review submissions
General typing of documents
Keeping record of information (creating folder matters, bids, board pack preparation)
Preparing and maintaining reports
Booking all required travel arrangements (flights, hotel, car rental, etc.) and other support required for travel
Manage the day-to-day operations of the team
Providing instructional work to the team
Taking minutes
Event management of inhouse events, workshops, training, etc.
**Qualifications and Experience**:
Matric
Relevant tertiary qualification
Minimum 3 years' administrative / PA / Secretary experience within the financial services sector
Previous working experience in a project environment
Proficiency in MS Office (intermediate to advanced Excel skills)
Ability to handle pressure
Must be process driven and assertive
Excellent communication and interpersonal skills
Strong planning, organising and coordinating skills
Ability to prioritise and multi-task
Attention to detail and accuracy
Solid work ethic
Problem solving skills
Hands on approach
