Executive Assistant to CEO

You will be responsible for but not limited to:
Perform a full range of PA duties: diary management, travel coordination, correspondence, meeting prep, and confidential administrative support
Facilitate the preparation and distribution of Board Packs; familiarity with governance and board processes is essential
Manage complex scheduling and prioritize urgent matters effectively
Act as a key liaison between the CEO and internal/external stakeholders
Proactively manage and resolve conflicts while maintaining professionalism and discretion
Lead with confidence — able to take initiative, assert boundaries, and represent the CEO in key communications
Provide a full range of personal and executive secretarial support to the CEO including general administration work
Produce documents, briefing papers, advanced excel reports and advanced PowerPoint presentations for the Directors / CEO
Full management of CEO electronic diaries, organising meetings, assessing priority of appointments and reallocation as necessary
Manage Directors travel arrangements and expenses (including visas/accommodation) occasionally extending to teams if necessary
Process CEO correspondence, ensuring that incoming correspondence is dealt with by the
CEO or on behalf of the Director, or other staff as appropriate
Maintain CEO office systems, including data management, filing, DocuSign uploads and alive approvals
Maintain records of CEO contacts
Manage functional team budget and maintain functional org charts
Raise functional POs as and when necessary
Complete travel and expense reports for the CEO
Screen calls, enquiries and requests, and deal with them when appropriate
Assist Director in researching and following up with action on matters which fall within the CEO responsibility - chasing responses, triggering follow-up action etc.
Organise meetings/conferences and ensure that CEO is well prepared. Preparing agendas, premeeting briefings, meeting papers and taking minutes
Provide extensive event management support from start to finish i.e.: venue research, event & concept planning, budget management, handling logistics, branding
- **Qualifications**:_
Matric/Grade 12 Certificate
Tertiary Qualification in Business Administration and/or a PA Diploma preferred
A minimum of 5 - 7 years proven work experience in an Executive PA position supporting several Directors
Experience from the the food / FMCG industry will be adv
MS Office (Word, Excel (Advanced), PowerPoint, Outlook), Docs, Sheets, Teams, Zoom, Google Calendar, Outlook Calendar, Microsoft OneNote
Valid driver’s licence

Strong leadership qualities with excellent conflict resolution and organizational skills
Outstanding written and verbal communication abilities
Resilience under pressure and the ability to handle a large, fast-paced workload

Ability to work independently as part of a specialised team
Very good communication skills & be fully conversant in English and Afrikaans
Self-disciplined and presentable
Must be able to work after hours at times, when required
Be able to work under pressure
