**SECTIONAL TITLE PORTFOLIO ADMINISTRATOR**

**Position Overview**:
We are seeking a highly organized and detail-oriented Portfolio Administrator to assist in the effective management of **sectional title schemes and Homeowners Associations (HOAs).** This role involves a variety of administrative and financial tasks, ensuring compliance with relevant regulations and supporting our community operations.

**Key Responsibilities**:

- **Financial Management**:

- Liaise with the Financial Controller to handle financial adjustments, including processing refunds for any expenditures made by trustees.
- Load all monthly invoices and manage the setup of new creditors, requesting and following up on bank confirmation letters.
- **Meeting Coordination**:

- Send out notices for all meetings and prepare a minute template with the agenda to facilitate efficient documentation.
- Assist with Annual General Meeting templates and requirements.
- Assist and prepare with the Portfolio Manager.
- **Maintenance Coordination**:

- Handle all maintenance-related issues, including burst pipes, lighting issues, geysers, and coordination with municipal services and insurance providers.
- Assist owners with maintenance quotes and provide feedback to owners, Portfolio managers and any other relevant person.
- **Insurance Claims Management**:

- Facilitate and assist where needed with insurance claims towards the Insurance administrators.
- Common Property claim submissions, quotes and relevant COCs
- **General**:

- Assist and respond to clients/owners within a 24-hour turnaround time;
- Communication via telephone, assisting clients and answering queries - sectional title related.

**Qualifications**:

- Property Management, or a related field preferred.
- Previous experience in administrative roles, particularly in property management or real estate.
- Strong organizational skills and meticulous attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and property management software.
