- Welcome visitors in a professional and courteous manner and direct to appropriate offices or personnel
- Maintain a professional atmosphere in the reception area
- Security documentation - ensure that documents are completed and filed for record keeping
- COVID-related screening, testing and documentation
- Switchboard
- Call Handling in a profession and efficient manner including message taking and distribution
- Distribution of updated extension list to all depots
- Stationery
- Management, ordering and tracking
- Courier Services
- Handling of courier service - Distribution of parcels/documentation
- Ensure correct GL codes for courier payment allocation - reconcile monthly invoice for payment processing
- Building Maintenance/Management
- Co-ordination of Advanced Cleaning Services staff
- Ordering of restroom supplies
- Co-ordinate and manage building inspections, report and track issues and their resolution
- Coordinate Building Maintenance, report and track issues and their resolution
- Boardroom Management
- Bookings, Equipment inspections/maintenance, catering/vending machine, etc
- Maintain boardroom calendar
- Central Travel Bookings for all Business Support Functions/Departments
- Book Travel for all Business Support Departments according to the travel policy
- Retain and reconcile Corporate Travel Card
- Pull monthly Travel Expense Reports and prepare analysis
- Company Governance
- Collate paperwork and records for the annual BBBEE Audit
- Maintain Corporate Calendar
- Minimum grade 12 certificate - Office Administration would be an advantage
- At least 2-3-year experience in a similar work environment
- Acceptable telephone etiquette
- Oral and written communication skills
- Interpersonal skills using tact, patience and courtesy
- Health regulations and safe working methods and procedures
- Operation of a centralised telephone system
- Computer Literacy - Ms Office
