Job Summary

We are seeking an experienced Operations Coordinator to join our team at Sidel in Johannesburg, South Africa. This is a permanent position that requires strong administrative skills, attention to detail, and excellent communication skills.

About the Role

The successful candidate will be responsible for initiating and processing purchase orders for necessary resources intervention, verifying purchase order accuracy, and coordinating with vendors to ensure timely deliveries. They will also maintain purchase order records and documentation, receive and process invoices for goods and services related to field service operations, and ensure invoices are accurate and compliant with company policies.

In addition, the Operations Coordinator will collaborate with the finance department for payment processing, collect and review expense reports submitted by field service engineers, verify expenses for accuracy and compliance with company policies, and assist in expense report processing and reimbursement.

They will also coordinate and arrange logistics for field service trips, including travel, accommodation, and transportation, facilitate visa applications and compliance documentation for field service engineers traveling internationally, stay up to date with visa regulations, and ensure adherence to travel guidelines.

Maintaining accurate records of field service engineer work hours and assignments, assisting in tracking time and effort for project-based work, and generating reports on time and effort for management are also key responsibilities of this role.

About You

To be successful in this role, you will have a Bachelor's degree in business administration, logistics, or a related field, and good English speaking and writing skills. Proven experience in administrative roles with a focus on purchase order management, invoicing, and logistics coordination is essential, as well as familiarity with financial and procurement systems.

Excellent attention to detail and organizational skills, strong communication skills to liaise with internal teams, vendors, and field service engineers, and knowledge of international travel requirements and visa processing are also highly desirable.

Benefits
