Job Summary

We are seeking a seasoned Property Administrator to lead our billing and collections operations. As a key member of our team, you will oversee the planning and supervision of clerical staff, ensuring efficient and effective administrative functions.

The successful candidate will be responsible for their own portfolio of buildings, encompassing lease onboarding, account payable, and cash book reconciliations. This role requires a strong leader with the ability to prioritize, plan, and supervise the clerical team.

Key Responsibilities

  • Streamline and oversee billing processes to ensure timely delivery of invoices to customers.
  • Maintain quality assurance for all processes and implement improvements as needed.
  • Respond to and mitigate billing escalations in a timely and professional manner.
  • Assist with uploading tenant charges into MDA and reconcile to the accounting system.
  • Ensure accurate and timely invoicing to customers, including uploading to third-party bill systems.
  • Observe and adhere to established processes, procedures, policies, and guidelines.
  • Develop and maintain effective working relationships with customers, facility managers, and property operation teams.
  • Conduct weekly and monthly ledger reconciliations, aging review, and reporting to direct supervisor.
  • Review monthly delinquency notifications and confirm customer disputes related to payment of outstanding balances.
  • Provide excellent customer service to external and internal customers.

Responsibilities for Portfolio Administration

  • Leasing administration, billing, and receipts/refunds
  • Tenant collections and relations
  • Accounts payable/receivable (debtors and creditors) and cash book reconciliations

Requirements

  • Grade 12 or equivalent
  • Relevant diploma in property management advantageous
  • 2-3 years of experience in a similar role
  • Property industry and utilities experience essential
  • Minimum junior-level management experience
  • Intermediate Excel skills
  • Experience in customer service
  • SAGE/MDA experience advantageous

Estimated Salary Range: $80,000 - $110,000 per year
