We are seeking a highly skilled Administrative Support Specialist to join our team at West Coast Personnel. This is a unique opportunity to work closely with our Managing Director and contribute to the success of our organization.

Key Responsibilities:

  • Manage the company's and Managing Director's private accounts, ensuring accurate and timely financial management.
  • Oversee all payment processes, including salaries, supplier payments, monthly bills, and petty cash management, with a focus on efficiency and effectiveness.
  • Input financial data into Pastel and reconcile cash books and journals, maintaining a high level of accuracy and attention to detail.
  • Collaborate with external accountants to prepare monthly financial reports, providing valuable insights into the company's financial performance.
  • Complete Services Seta and Workmen's Compensation documentation, ensuring compliance with all relevant regulations.
  • Prepare monthly cash flow forecasts, helping to inform strategic business decisions.
  • Submit and process statutory returns via E-filing and Easyfile (EMP201, EMP501, VAT, and Provisional Tax), ensuring timely and accurate compliance with all relevant regulations.
  • Perform personal errands for the Managing Director, providing a high level of support and discretion.
  • Manage diary schedules and arrange travel (flights and accommodation), ensuring seamless logistics and minimal disruption.
  • Maintain and update the company website, showcasing our organization's values and services to the world.
  • Liaise with medical aid and insurance companies, providing expert support and guidance.
  • Supervise administrative and cleaning staff, as well as the external IT technician, providing leadership and guidance to ensure high levels of performance.
  • Conduct performance evaluations for administrative staff, helping to drive improvement and growth.
  • Issue warnings and participate in disciplinary hearings as needed, maintaining a fair and consistent approach.
  • Conduct interviews for internal administrative vacancies, helping to identify and attract top talent.
  • Facilitate staff training and induction processes, ensuring a smooth onboarding experience for new team members.
  • Monitor and manage the leave schedule for staff, ensuring efficient scheduling and minimal disruption.
  • Design invitations and coordinate holiday and birthday communications, adding a personal touch to our organization's celebrations.
  • Organize client, candidate, and staff gifts, showcasing our appreciation and gratitude for our valued relationships.
  • Coordinate corporate events and staff functions, helping to build a positive and inclusive company culture.

Salary: R140,000 - R180,000 per annum, depending on experience.

Required Skills and Qualifications:

  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Strong financial management skills and proficiency in accounting software, particularly Pastel.
  • Excellent organizational and multitasking abilities, with a focus on efficiency and effectiveness.
  • Strong interpersonal and communication skills, with the ability to build rapport with clients and colleagues alike.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in Microsoft Office Suite and online communication tools, with a willingness to learn and adapt.
