Job Summary

We are seeking a highly skilled and experienced Senior Fleet Operations Manager to join our team at the Council for Geoscience. This is an exciting opportunity for a professional with a passion for fleet management to take on a challenging role that will leverage their expertise in optimizing vehicle utilization, reducing costs, and ensuring compliance with regulatory requirements.

Key Responsibilities:
  • Supervise section staff to ensure efficient and effective fleet operations, including administrative support and technical assistance as needed.
  • Capture and file all vehicles log records accurately and efficiently, using data analytics to inform decision-making.
  • Conduct regular vehicle inspections with drivers to identify potential issues and improve overall safety and performance.
  • Evaluate trip authorizations forms to ensure compliance with company policies and procedures.
  • Verify driver and passenger authorization records to prevent unauthorized use of vehicles.
Fleet Administration
  • Administer driver registration and passenger authorization records to maintain accurate and up-to-date information.
  • Capture and track all data and information on the vehicle monitoring system to monitor vehicle usage and optimize fleet performance.
  • Issue driver identification tags and maintain accurate records of employee access to vehicles.
Vehicle Scheduling and Issuing
  • Prepare and schedule vehicles using the scheduling system to maximize vehicle utilization and minimize downtime.
  • Verify trip authority forms for accuracy and completeness before issuing vehicles to employees.
  • Ensure drivers have valid and appropriate driver's licenses for assigned vehicles.
  • Conduct pre-inspections of vehicles to ensure they are safe and roadworthy before issuance to employees.
  • Keep detailed records of all completed forms and vehicle usage registers.
  • Issue car keys and fleet cards to authorized drivers.
Driver Scheduling
  • Receive and allocate driver service requests to optimize vehicle utilization and reduce downtime.
Speed Violations
  • Monitor fleet speed and traffic laws violations to ensure compliance and minimize risk.
  • Track weekend and overnight usage of fleet vehicles to detect deviations and anomalies.
Vehicle Tracking
  • Monitor fleet vehicles through the tracking service to detect speed violations and other issues.
  • Report any deviations and anomalies detected during tracking to relevant authorities.
Admiration of Vehicle Bookings
  • Receive booking requests from employees and confirm availability of vehicles using the booking spreadsheet.
  • Reply to booking requests via email to provide confirmation or alternative options.
Procurement
  • Administer process for fleet vehicles licensing to ensure compliance with regulatory requirements.
  • Procure Personal Protective Equipment (PPE) for section staff to ensure a safe working environment.
Service and Maintenance
  • Book vehicles and equipment for maintenance and repairs to minimize downtime and ensure optimal performance.
  • Assist employees with mechanical breakdowns to minimize disruption to operations.
  • Maintain accurate records of vehicle/equipment services, maintenance, and repairs.
Coordination of Courier Services
  • Administer goods and parcels received and dispatched to ensure timely delivery and minimize losses.

About You:

  • You have 3-5 years of experience in fleet management, with a strong understanding of general administration and office support.
  • You are fully computer literate with advanced skills in MS Office and proficient in data analysis and reporting.
  • You have excellent organizational and planning skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • You possess strong communication and interpersonal skills, with the ability to work effectively with colleagues and stakeholders at all levels.
  • You have a solid understanding of supply chain management principles and practices.
