About the Role

Black Pen Recruitment is seeking a highly skilled and experienced Executive Assistant to support our Chief Operating Officer (COO) with a range of high-level administrative and strategic duties.

Key Responsibilities
  • Provide calendar management for the COO, ensuring seamless coordination and organization of meetings and appointments.
  • Act as the primary point of contact for internal and external communications on behalf of the COO, responding to inquiries and resolving issues in a timely and professional manner.
  • Track project timelines, milestones, and deliverables, ensuring timely progress on key initiatives.
  • Coordinate with relevant stakeholders to ensure successful execution of projects and initiatives.
  • Manage logistics for meetings, including organizing agendas, calendar invites, and preparing written materials.
  • Develop relationships with internal administrative staff to facilitate meeting planning and scheduling.
  • Handle sensitive information with the utmost discretion and professionalism.
  • Communicate and interact with members of the management team, ensuring effective collaboration and coordination.
  • Arrange all domestic and international travel, including itineraries, lodging, and transportation.
  • Prepare Travel & Expense reports, reconciling corporate card expenses.
Requirements
  • Minimum 5 years of experience as an Executive Assistant.
  • Bachelor's degree in Business Administration, Management, or a related field.
  • Start-up/Fintech experience required.
  • Highly organized and a natural project manager.
  • Extremely agile and flexible in response to changing priorities and needs.
  • A self-starter who is highly motivated.
  • Extremely resourceful in ever-changing situations.
  • Being proactive—anticipating the needs of others before anyone else.
  • Emotionally intelligent and a strong communicator (both verbal and written).
  • Enjoys partnering with other administrative colleagues across the organization and providing back-up support when necessary.
