Job Description

Sidel is seeking an experienced Administrative Logistics Coordinator to join our team in Johannesburg.

About the Role:

  • This is a permanent position that will involve coordinating logistics for field service trips, including travel, accommodation, and transportation.
  • The successful candidate will also be responsible for maintaining accurate records of field service engineer work hours and assignments, and assisting in tracking time and effort for project-based work.
  • Proven experience in administrative roles with a focus on purchase order management, invoicing, and logistics coordination is required.

Key Responsibilities:

  • Initiate and process purchase orders for necessary resources intervention.
  • Verify purchase order accuracy and coordinate with vendors to ensure timely deliveries.
  • Maintain purchase order records and documentation.
  • Receive, review, and process invoices for goods and services related to field service operations.
  • Ensure invoices are accurate and in compliance with company policies.
  • Collaborate with the finance department for payment processing.
  • FSE Expenses Management: Collect and review expense reports submitted by field service engineers. Verify expenses for accuracy and compliance with company policies. Assist in expense report processing and reimbursement.
  • Coordinate and arrange logistics for field service trips, including travel, accommodation, and transportation.
  • Facilitate visa applications and compliance documentation for field service engineers traveling internationally.
  • Stay up to date with visa regulations and ensure adherence to travel guidelines.

Your Profile:

  • Bachelor's degree in business administration, logistics, or a related field preferred.
  • Good English speaking and writing skills.
  • Proven experience in administrative roles with a focus on purchase order management, invoicing, and logistics coordination.
  • Familiarity with financial and procurement systems.
  • Excellent attention to detail and organizational skills.
  • Strong communication skills to liaise with internal teams, vendors, and field service engineers.
  • Knowledge of international travel requirements and visa processing is a plus.
