HVAC Service Manager Reports To: Operations Manager / General Manager Position Overview: The HVAC Service Manager is responsible for managing all aspects of the Heating, Ventilation, and Air Conditioning (HVAC) service operations. This includes the supervision of technicians, coordination of maintenance and repair projects, client relationship management, financial oversight, and adherence to health and safety standards. The role ensures that service operations are executed efficiently, cost‑effectively, and to the highest standard of quality and customer satisfaction. The HVAC Service Manager acts as a bridge between clients, technicians, and management — ensuring smooth communication, operational efficiency, and continuous service improvement. Detailed Responsibilities 1. Service Operations Management Plan, schedule, and oversee all HVAC service, repair, and maintenance activities. Manage daily service operations, ensuring timely response to customer requests and emergency calls. Assign work orders to technicians and monitor progress to ensure completion within set timelines. Develop and implement preventive maintenance schedules to minimize equipment downtime. Ensure proper documentation of all service activities, including work orders, maintenance logs, and inspection reports. Maintain a high standard of workmanship and adherence to company quality assurance policies. Troubleshoot operational issues, recommend corrective actions, and implement solutions efficiently. 2. Staff Supervision and Development Lead, mentor, and supervise a team of HVAC technicians and support staff. Conduct regular team meetings to communicate goals, safety standards, and operational updates. Evaluate technician performance through KPI tracking, field inspections, and customer feedback. Identify training needs and coordinate ongoing technical and safety training programs. Promote teamwork, accountability, and professional development within the department. Manage recruitment, onboarding, and discipline of service personnel in coordination with HR. 3. Client and Customer Relationship Management Serve as the primary contact for all HVAC service clients. Respond promptly and professionally to customer inquiries, complaints, and service requests. Conduct site visits to assess client needs and prepare accurate service proposals or quotations. Ensure customer satisfaction through regular follow‑ups, quality control checks, and after‑service feedback collection. Build long‑term relationships with clients through trust, transparency, and consistent service delivery. 4. Financial and Business Management Develop and manage the HVAC service department’s annual budget, including revenue forecasts and expense control. Monitor departmental profitability and implement strategies to achieve financial targets. Approve purchase orders, invoices, and job costing reports. Track and analyze key financial metrics such as gross margin, labor utilization, and parts cost. Assist in pricing strategies, service contracts, and maintenance agreements. Identify new business opportunities and contribute to growth through service contract renewals and upselling. 5. Health, Safety, and Compliance Ensure all HVAC operations comply with relevant industry codes, environmental laws, and safety regulations. Conduct safety meetings and enforce proper use of personal protective equipment (PPE). Maintain accurate safety records and report incidents or near‑mises promptly. Ensure that technicians are trained and certified to handle refrigerants and specialized equipment safely. Coordinate compliance with ISO, OSHA, or other relevant standards as applicable. 6. Equipment, Tools, and Inventory Control Manage and maintain company tools, vehicles, and testing equipment. Oversee inventory of parts, materials, and consumables, ensuring adequate stock levels. Coordinate with procurement and suppliers for timely delivery of parts and replacements. Implement procedures to track and reduce equipment loss, damage, and downtime. 7. Reporting and Documentation Prepare regular operational and performance reports for senior management. Track service performance metrics such as response time, job completion rate, and customer satisfaction. Maintain accurate records of all installations, maintenance schedules, and warranties. Ensure all documentation aligns with company and client reporting requirements. Qualifications and Experience Education: Diploma or Degree in Mechanical Engineering, HVAC Technology, Building Services, or related field. Additional certifications such as Trade Test (Refrigeration and Air Conditioning), Gas Handling, or Project Management are advantageous. Experience: Minimum of 5–7 years of hands‑on experience in HVAC service and maintenance operations. At least 3 years in a supervisory or management position within the HVAC or facilities management industry. Proven experience managing teams, budgets, and client portfolios. Key Skills and Competencies In‑depth technical knowledge of HVAC systems, chillers, AHUs, VRV/VRF systems, and controls. Strong leadership and people‑management skills. Excellent communication, negotiation, and interpersonal abilities. Customer‑oriented mindset with strong problem‑solving and decision‑making skills. Financial acumen and ability to interpret technical and financial reports. Proficiency in computer applications and service management software (e.g., ServiceTitan, FieldAware, or similar). Strong organizational and time‑management abilities. Performance Indicators (KPIs) Service response and completion times. Customer satisfaction and retention rates. Departmental revenue and profit margins. Technician productivity and utilization rates. Compliance and safety record performance. Working Conditions Based at the company office with frequent site visits to client locations. Standard working hours with occasional overtime or on‑call duties as required. Exposure to mechanical, electrical, and environmental conditions during site inspections.
