Introduction We are looking for someone to provide comprehensive administrative support across Human Resources, Industrial Relations, and Payroll functions. This role ensures effective employee record management, compliance with labour legislation, support for IR processes, and accurate payroll processing. The ideal candidate will be detail-oriented, highly organized, and capable of handling confidential information with discretion. Duties & Responsibilities Human Resources Administration: Maintain and update employee records in HR systems and personnel files. Support the recruitment and onboarding process (e.g., interview scheduling, contract preparation, induction coordination). Assist with employee lifecycle activities such as promotions, transfers, exits, and offboarding documentation. Prepare HR reports and analytics on headcount, absenteeism, turnover, etc. Administer employee benefits programs (e.g., medical aid, pensions, leave). Respond to HR-related queries from staff and management in a timely and professional manner. Industrial Relations Support: Schedule and coordinate disciplinary hearings, grievance meetings, and union engagements. Take accurate minutes during hearings and IR meetings. Maintain detailed records of IR cases, actions taken, and outcomes. Assist in preparing documentation for CCMA / conciliation / mediation proceedings. Monitor compliance with labour legislation and collective bargaining agreements. Maintain strong, professional relationships with union representatives. Payroll Administration: Collect, verify, and process payroll inputs (e.g., timesheets, leave, overtime, bonuses, deductions). Maintain accurate payroll records and employee compensation data. Liaise with HR and Finance teams to ensure accurate monthly payroll processing. Assist in reconciling payroll data and resolving discrepancies. Prepare and distribute payslips and assist employees with payroll-related queries. Ensure compliance with tax laws, statutory deductions, and reporting requirements (e.g., UIF, PAYE, pension, medical aid). Support audits and year-end payroll reconciliations. Desired Experience & Qualification Diploma or Degree in Human Resources, Industrial Relations, Payroll Administration, or a related field. Payroll certification or training. Experience: Minimum 2–3 years' experience in a similar HR / Payroll / IR administrative role. Experience in payroll processing, preferably using a recognized payroll system. Prior experience in a unionised environment is highly desirable. Skills & Competencies Solid understanding of payroll legislation and HR best practices. Strong administrative, organisational, and time-management skills. High attention to detail and numerical accuracy. Ability to manage confidential and sensitive information. Excellent interpersonal and communication skills. Proficiency in Microsoft Office (Excel essential). Experience using HRIS and payroll systems (e.g., Sage, VIP, PaySpace, SAP).
