Reconciliation Analyst – Fund Administration (Hedge Daily) The Analyst – Fund Administration (Reconciliations – Hedge Daily) is integral to ensuring accurate daily reconciliation and portfolio management across diverse client funds. The role focuses on reconciling cash, positions, market value, and corporate actions, managing data, reporting, and ensuring valuation quality for internal stakeholders and clients. Based in the Observatory office in Cape Town, South Africa, the position reports directly to the Associate Director. Core Responsibilities Data Management and Process Improvement Manage the data entry, monitoring, and exception clearing for trade, price, security, and corporate action data, ensuring accurate entry into portfolio systems. Raise inconsistencies in static data for portfolio systems, updating security identifiers, asset classes, and other relevant information consistently. Proactively identify and resolve complex system-related issues affecting position and P&L valuations, collaborating with IT and operational teams. Communication and Client Interaction Respond to client and internal stakeholder queries, particularly from North and South American offices, addressing complex reconciliation inquiries. Manage and deliver regular reconciliation reports to clients, ensuring they are comprehensive and error‑free. Support NAV leaders and managers in resolving complex queries related to fund valuations, reconciliations, and data discrepancies. Valuation Quality Assurance Conduct periodic reviews of valuation processes and reconciliation outputs to ensure high‑quality, accurate, and timely valuations. Continuously monitor and review reconciliation and data management processes to ensure operational best practices and regulatory compliance. Develop and maintain expertise in Advent Geneva Portfolio and General Ledger modules to support reconciliation tasks and fund valuations. Contribute to system improvements and upgrades by collaborating with IT and other departments. Keep up to date with new developments in portfolio management and reconciliation systems. Cross-Functional Collaboration Identify opportunities for process optimisation within the reconciliation team and the broader fund administration function. Collaborate with operations staff, project managers, implementation teams, and other business units to implement new products and solutions that support reconciliation and portfolio management processes. Risk and Compliance Responsibilities Perform routine compliance checks and adhere to company risk and compliance processes and policies. Participate in testing of operational controls and report findings. Work with Manager and Risk & Governance colleagues to instill a compliance‑centric culture. Assist in compliance investigations and prepare documentation for SOC audits. Ensure reconciliation processes adhere to SOC (SOC 1/ISAE 3402) requirements by documenting procedures and controls. Support governance frameworks by following established reconciliation policies, controls, and escalation protocols. Additional Strategic Expectations Share insights to develop new processes and procedures that enhance business efficiency and client service. Maintain awareness of industry, regulatory, and jurisdictional trends that could affect the business. Collaborate cross‑functionally with operations staff, business users, and project managers to achieve optimal solutions. Daily Tasks (Examples) Perform wholesale & fund‑specific reconciliations daily, weekly, and monthly, covering cash, positions, interest, dividends, and corporate actions. Conduct position reconciliations, flagging and resolving discrepancies. Oversee market value reconciliations for securities, ensuring consistent valuations across data sources. Execute cash reconciliations and manage ad‑hoc duties as required. Required Skills & Experience Diploma in Accounting, Business Administration, Economics, Finance or similar, with 1–2 years of fund automation experience focused on reconciliations (preferably in the hedge fund industry). OR newly qualified graduate with a bachelor’s degree in Accounting, Business Administration, Economics, Finance or similar. Excellent communication skills in English (Brazilian Portuguese an advantage). Proficiency with reconciliation software and fund accounting systems an advantage. Advanced Excel skills; familiarity with SQL or other data analysis tools an advantage. Knowledge of BI tools; familiarity with MS Power Apps an advantage. Strong problem‑solving and analytical skills with a proven ability to analyze complex financial data. Ability to work independently within a high‑performing team.
