As an Internal Sales Co-Ordinator, you'll be at the epicenter of our operations. Your role extends beyond spreadsheets and invoices, it's about orchestrating seamless transactions, building relationships, and ensuring our clients receive unparalleled service.

Key Responsibilities:
  • Receive and process sales orders via phone, email, or WhatsApp
  • Assist and deal with walk-in customers
  • Verify product availability and pricing information
  • Maintain price-lists
  • Accurately enter sales orders into the system
  • Manage and print picking slips and coordinate with relevant warehouse departments
  • Coordinate with warehouse and logistics departments to ensure timely delivery of orders
  • Communicate with customers regarding order status, shipping details, and any delays or issues
  • Resolve customer complaints and inquiries related to sales orders
  • Maintain accurate records of customer information, customer accounts, and order history
  • Collaborate with other departments to ensure efficient and effective order processing
  • Accurately invoice picking slips when an order is being dispatched
  • File picking slips, PODs and upload to server
  • Stand-in and assist when other staff members are on leave
  • Perform any other duties as assigned by the Branch Manager and Supervisor.

Qualifications:
  • Matric certificate
  • 1-2 years of experience in a sales support or customer service role
  • Strong computer skills, including proficiency with Microsoft Office and
  • Experience using SAGE evolution software is critical
  • Ability to read and write in both English and Afrikaans
  • Excellent communication and interpersonal skills
  • Strong attention to detail and accuracy
  • Ability to work independently and as part of a team
  • Ability to prioritize and manage multiple tasks in a fast-paced environment
  • Experience working in a manufacturing or distribution environment is a bonus.

Key Attributes:
  • Order Accuracy Rate: This KPI measures the percentage of sales orders processed without errors. A high accuracy rate indicates that the Sales Orders Clerk is diligent and detail-oriented in their work, which can lead to fewer customer complaints and higher customer satisfaction levels.
  • Order Cycle Time: This KPI measures the time it takes to process a sales order from receipt to delivery. A shorter cycle time indicates that the Sales Orders Clerk is efficient and effective in their work, which can lead to faster order fulfillment and better customer service.
  • Order Fulfilment Rate: This KPI measures the percentage of sales orders that are delivered on time and in full. A high fulfillment rate indicates that the Sales Orders Clerk is working effectively with other departments such as warehouse and shipping to ensure the timely delivery of orders.
  • Customer Satisfaction Rate: This KPI measures the percentage of customers who are satisfied with the Sales Orders Clerk's performance. This can be measured through surveys or feedback forms. A high customer satisfaction rate indicates that the Sales Orders Clerk is meeting or exceeding customer expectations.
