Key responsibilities:Prepare drivers paperwork including stop sheets and load releasesManage and oversee all drivers and assistantsHandle daily fleet management and scheduling tasksBrief drivers before dispatch and ensure proper documentation is submitted after tripsScan and upload driver paperwork to the debriefing systemAnalyse trip sheets and tracker data for performance and complianceMaintain driver discipline and ensure adherence to operational standardsMonitor and improve truck turnaround timesCapture and track drivers log sheets including overtime and night-out allowancesKeep records of in-house training and coordinate training sessionsIssue warnings and prepare documentation for disciplinary hearingsSupport urgent deliveries by assisting with truck loading and routingManage preloads and customer satisfaction follow-upsProcess driver leave and ensure sufficient driver availability per shiftAssist with planning and scheduling of routes and driversMonitor driver working hours and ensure legal complianceLiaise with gantries regarding safeload renewals and driver inductionsInvestigate vehicle incidents and accidents and ensure proper reportingCommunicate with customers regarding late deliveries or service issuesGenerate and review daily speeding and tracking reportsRespond to driver and customer calls promptly, including after-hours supportAssist with HSSE tasks under guidance from the safety managerConduct spot checks and report near missesIssue and track PPE usage and ensure regular updates to driver filesAssist with loading trucks, including safeloads, Hazchem, DGP, and medical checksMaintain accurate driver documentation including medicals, permits, and certificationsCapture all incidents and accidents in the Quality Management (QM) systemFacilitate weekly toolbox talks and maintain signed recordsUpdate and assist with harbour and fire permit renewals annuallyCoordinate with mechanics for truck servicing, repairs, and defect resolutionParticipate in alternating standby shifts and weekend work as per rosterRetrieve and manage telematics or dashcam footage as requiredCommunicate with Tracker and Truck Assist for vehicle supportPerform vehicle spot checks and capture NMPI dataMonitor and report on tracker activity, including shift handoversManage handovers between shifts to ensure operational continuityBook and maintain training records via the training matrixKey competencies:Strong organisational and administrative skillsExcellent time management and multitasking abilityEffective communication with both internal teams and customersAbility to remain calm and focused in a fast-paced environmentProactive and solutions-focused with high attention to detailComfortable working independently and as part of a teamWillingness to work flexible hours, including weekends and standby dutySound knowledge of logistics processes and fleet operations
